Hello everyone,

You are receiving this email because you are the Toolbox Renewal Initiative Key Communication Contact (TBRKCC) or Toolbox Renewal Technical and Training Leads (TBRTTL) for your Division to lead the project communication with your division.

We are two and a half weeks away from September 1st, (the date that Portal is being replaced by Quercus) and we continue to work with you to prepare the U of T community for the new platform.

Here are a few updates about the project:

Migration activity

Instuctors have accessed and have had some type of activity in the course shell (non-zero storage) for over 1,250 fall and winter courses in Quercus and we have supported more than 110 content migration clinics across the university.

Out of 2,430 portal orgs, 1,030 have been confirmed for deletion, 206 are moving to Quercus, 26 to share point and 160 teams have been created. We continue to work with different divisions to migrate the remaining to the right destination.


Replacing Portal link with Quercus Link on the U of T home page
Upon recommendation of the communication committee and technical working group followed approved by the steering committee, on August 15, 2018, we replaced the Portal button on utoronto.ca with a Quercus button. This new button will link to https://q.utoronto.ca/. Action required by you – Please review the websites you manage and edit “Portal” to “Quercus” and link to https://q.utoronto.ca/. The tree icon can remain the same (if you’re using it).
There is a message on Quercus after login with a link to Portal (and Portal can also be accessed directly through portal.utoronto.ca) for those who need to use Portal until Aug 31st . After Aug 31st  portal.utoronto.ca will be replaced with q.toronto.ca.

Course shell default menu
As previously communicated at various advisory and working groups, we have been working on a change to the default course navigation menu (the items that show up when a course shell is first created by ROSI). These changes were approved by the steering committee, based on recommendations from various advisory groups, to make sure features like the Discussion tool were off by default, and would only be turned on at the discretion of an instructor.

The changes to the default navigation menu were identified as a priority and our partner, Instructure made the changes and implemented them over the weekend of Aug 11-13. In some cases, where an instructor already modified their course shell, some features became hidden on the course menu (even though the instructor did wish to use them. Note: the content that has been uploaded remains in the course shell and has not been compromised).  The instructor can re-enable those features for students to have access through Navigation under setting. A note about the issue was shared with TEST group members earlier with more detail.

Email response to Canvas generated messages
It has been communicated previously that reply emails to Canvas generated messages would not be delivered back to the send and as a result we had added a warning advising recipients not to reply to the message. This issue has been fixed by our colleagues at Instructure (so the warning message has been removed) and if the recipient reply to a Canvas generated message, it will be delivered back to the sender Canvas inbox. However, if there are any attachments, the attachment will not be delivered. This is a global issue for Canvas and for such there is a standard warning (that we cannot modify) at the footer of each Canvas generated message advising recipient of this issue.
